The executive changes are designed to increase the accountability of each position and make it easier for each exec member to know what their responsibilities are. We have increased our reach this year with several new initiatives like the Migrant and Refugee Taskforce, Villawood Visits, Buddies Day, and Sunday Brekkie Van, and the changes in the exec reflect a need to manage exec responsibilities better. The other constitutional changes are necessary to bring the constitution up to USU standards. Our constitution has not been amended since the club started in 2009, and we need to change some clauses to the wording used in the C&S Model Constitution.



The General Meeting will be held on:

Friday 7 September at 4pm at Isabel Fidler Room, which is on the top floor of Manning



Attendance at the GM is non-compulsory, but any members present can vote on the exec changes, so it is in your interest to attend. It would be great if those wanting or thinking of running for exec positions at the AGM on the 14th to attend so you can get a feel of what roles on the exec require and see how a GM is run in case you need to run one in the future.



The following changes will be proposed:



Resolution 1:

That 2.2 (v) which currently reads “all meetings of the executive shall commence with prayer is changed to:

“All meetings of the executive shall include a spiritual reflection”



Resolution 2:

Change 3.1(ii) referring to Associate Membership to the wording contained in the new USU model constitution. (Involves no substantive change)



Resolution 3:

Change 4.1 to:

The Society shall have an Executive consisting of:

i) a President

ii) a Vice President

iii) a Secretary

iv) a Treasurer

v) a Brekkie Van Coordinator

vi) a Night Patrol Coordinator

vii) a Buddies Day and Kids Camp Coordinator

viii)a Teen Day and Teen Camp Coordinator

ix) a Migrant Refugee Taskforce & Villawood Visitations Coordinator

x) a Spiritual Officer

xi) Winter Sleepout Coordinator

xii) Fundraising Officer

xiii) Volunteer Coordinator




Change 5 to:

5.1 the President shall:

i) Plan the Society's activities in consultation with the Executive

ii) Liase with the Executive and any Committees formed by the Society

iii) Ensure an adequate handover, including any documents and materials, to the following Executive.



5.2 The Vice-President shall:

i) Deputise the President

ii) Strengthen the Society's ties to the student community and the Vinnies benefactor community

iii) Aid in the logistical coordination of events and fundraisers in conjunction with the broader student community



5.3 The Treasurer shall:

i) Maintain the Society's finances in accordance with the Treasurer's Handbook produced by the C&S Office of the USU

ii) Present to the AGM of the Society a report detailing the financial activity and status of the Society

iii) Ensure an adequate handover, including any documents and materials to the following Executive.



5.4 The Secretary shall:

i) Conduct the correspondence of the Society

ii) Book meeting rooms for the Society

iii) Keep minutes of the proceedings of all Society meetings

iv) Maintain the records and documents of the Society

v) Maintain a list of current Members, in accordance with USU Guidelines

vi) Maintain the Society's registration with the USU

vii) Assist in the management of the Society stall at O-Week




5.5 the Brekkie Van Coordinator shall:

i) Be responsible for coordinating Brekkie Van, including logistics such as volunteer numbers and drivers

ii) Make all new volunteers at Brekkie Van feel welcome and involved



5.6 the Night Patrol Coordinator shall:

i) Coordinate the monthly Night Patrol

ii) Coordinate any "emergency" Night Patrols that St Vincent de Paul requires us to help out with



5.7 the Buddies Day and Kids Camp Coordinator shall:

i) Hold at least one Buddies Day in the year

ii) Attend at least one Kids Camp in the year

iii) Coordinate Young Vinnies volunteers being involved in Kids Camp and Buddies Days



5.8 the Teen Day and Teen Camp Coordinator shall:

i) Hold at least one Teen Day a year

ii) Attend at least one Teen Camp a year

iii) Coordinate Young Vinnies volunteers to be involved in Teen Day and Teen Camps



5.9 the Migrant Refugee Taskforce & Villawood Visitations Coordinator shall:

i) Be responsible for coordinating Young Vinnies volunteers to be involved in the Migrant Refugee Taskforce & Villawood Visitations programs

ii) This should include at least one volunteer program a month



5.10 the Spiritual Officer shall:

i) Help to ensure the spiritual wellbeing of the executive and members of Young Vinnies

ii) At each executive meeting come up with a spiritual reflection to share



5.11 the Winter Sleepout Coordinator shall:

i) Coordinate the logistics of the annual Winter Sleepout

ii) Obtain costings for future events in consultation with the Treasurer

iii) Obtain sponsorship for Winter Sleepout and assist with sponsorship for other events throughout the year as needed

iv) Publicise the Winter Sleepout and assist in publicising any other major events the executive holds throughout the year



5.12 the Fundraising Officer shall:

i) Coordinate at least two major fundraisers a year

ii) Be responsible for directing the Fundraising Committee and delegating duties to the Committee's members



5.13 the Volunteer Coordinator shall:

i) Be responsible for recruiting, maintinaing and inspiring volunteers to be involved and stay involved in volunteering

ii) Create any committees and sub-committees the Executive may require from time to time

iii) Coordinate the logistics of at least one social event a semester

iv) Assist in the managment of the O-Week stall
